Vandelanotte is a leading accounting and consulting firm in Belgium with over 80 years of experience and over 750 employees across various offices. The company supports organizations in a wide range of sectors with accounting, auditing, tax, and consultancy services.
Due to the growth in the number of projects and employees, Vandelanotte needed more insight into staffing, project statuses, and margin development. The biggest challenge planning faced was creating and keeping projects, clients, and employees up to date in Timewax. This resulted in a significant amount of extra administration and manual tasks for the planner.
Working with templates does simplify part of the process, but synchronization with AFAS now ensures that projects are automatically created with the correct costing rules and customer links. The same applies to employee data.
To address the fragmentation in the Audit department’s planning, Vandelanotte, together with Timewax, initiated a process to realize the integration between AFAS and Timewax.
During an inspirational session with key users, the Timewax team demonstrated how the tool can be optimally deployed within an accounting firm and how automation can contribute to more efficient project planning.
This session revealed the need to integrate AFAS with Timewax, so that all master data such as clients, projects, activities, and resources are automatically synchronized. The integration was also expanded to include retrieving cost estimates, making the budgeted hours and costs per project from AFAS available in Timewax.
After extensive testing, the integration was put into production. Implementation was phased, with attention to data quality, checks, and validation by key users.
Since implementing the AFAS integration, Vandelanotte has been working entirely with a single source of truth. All users now have access to the same data, always up-to-date and consistent.
