For a fixed setup fee, we onboard your organization onto our platform. We collaborate with you to determine the optimal configuration, saving you time and ensuring you get the maximum value from our platform.
After you subscribe, our onboarding team will promptly contact you. They will review your requirements and provide guidance on the optimal setup to suit your needs. During this phase, your key users will receive training through our online training academy.
In this step, your key users will configure your account. They will import essential data, such as clients, projects, and resources, using spreadsheets. If needed, we will assist with the configuration and the setup of integrations with your existing systems.
In the final step, you invite all users to log on to your account and go to the training academy. This online academy is tailored to teach each user how to effectively use Timewax according to their role, whether as an employee, planner, project manager, or department manager.

You purchase an annual bundle of FTEs from us. You need to estimate in advance how many FTE you expect to schedule in the coming year.
The annual bundle has a built-in volume discount. The more FTEs your order, the less you pay. Try to make a precise estimation of the number of FTEs you expect to schedule.
At the end of the year, your contract is automatically renewed with the most recent bundle of FTEs. Of course you can order a higher or lower annual bundle for the new year. You need to do this before the contract renews.
If you exceed your bundle of FTEs during the year, we will automatically increase your bundle with:
This higher bundle of FTEs will also automatically become your new bundle for the following year, unless you increase or decrease it yourself before the new year begins.
If you are less than 5 FTEs short in a year, we will not upgrade you to a higher bundle. These FTEs will be charged afterwards at an overage fee.
We look at the consumption of your annual bundle at the end of each year. If you have used more FTEs than your annual bundle, we will charge you an overage fee for these FTEs.
The overage fee is charged per scheduled day at the following rates:
Each month, we register how many FTEs you scheduled. We do this based on the number of days scheduled. It does not matter how many bookings or how many hours per day you schedule an employee. As soon as you have something scheduled on a day, we register it as a scheduled day.
In addition, we only look at scheduled days in the past. Scheduled days in the future are not charged until they are in the past.
Optionally, you can also register the actual time spent in our system with the time sheets feature. If nothing is scheduled for an employee on a day, but actual spent time is registered on that day, then that day is also considered a scheduled day. Have both scheduled and actual spent time been recorded on a day? Then you will only be charged once for that day.
After you have accepted our quote, you will automatically enter an online payment process. You can choose to pay by credit card or direct debit, after which you will receive an invoice.
If you switch to a higher edition or order additional FTEs, you will receive an invoice for this and the invoice amount will be automatically charged to your credit card or bank account.
Payment are accepted by means of credit card or direct debit (SEPA). Payment by bank transfer is only possible if the amount of the annual bundle exceeds 10,000 euros.
Each edition has a monthly bundle of API requests included in the price:
If the monthly bundle is exceeded, any additional requests will be charged afterwards at 0.001 euros.
Full-time equivalent (FTE) is a unit of calculation for the size of your workforce. An FTE corresponds to the full working week of one employee. Two part-time employees who both work 20 hours together make up 1 FTE.
Do you work with 0-hour contracts and freelancers that you hire? Then add up all their worked days in the past year and divide them by 250 days. This is the number of FTE that this part of your workforce consists of.
A year has 52 weeks with 5 working days per week. This brings the annual number of days to be scheduled to 260. Each country has a different number of national holidays, but on average this comes down to 10 days. These holidays are already scheduled in Timewax.
If we subtract these 10 holidays, we are left with 250 days to schedule in a year. An FTE can therefore be scheduled for 250 days on projects, annual leave, sick leave and other activities.
We charge you based on scheduled FTEs. This is independent of the number of users in the system. You can invite an unlimited number of internal and external employees to our platform.
Think, for example, of management or staff members who only want to consult information, but are not scheduled themselves in anyway. Or freelancers that you occasionally hire. All of them can use the system at no additional cost.
Support is included in every edition. The Timewax support desk forms the 2nd line of user support. The support desk is available on working days between 09:00 and 17:00 CET. A dedicated contact person is assigned to customers on the Diamond edition.
