The way these services are delivered has changed fundamentally in recent years – and it is precisely this shift that makes planning an increasingly important process.

The challenge: complex resource planning with parallel project assignments

Resource planning at avodaq became increasingly complex because employees no longer worked predominantly full days for a single client, but often support multiple projects within a single day – frequently in smaller time blocks and increasingly remotely.

The tools used until then could only support this situation to a limited extent. Coordination was sequential, it was impossible to plan more than one person efficiently, and a reliable overview of availability, utilization, and project assignments was only possible with significant manual effort.

Additionally, there was a lack of continuous alignment between the planning tool, calendars, and absences. Changes had to be checked actively, which meant planning information was easily overlooked and inconsistent data hindered resource planning.

The approach: centralized planning with integrated systems

To solve these challenges, avodaq sought a solution to consolidate fragmented planning, create solid transparency regarding capacity, and significantly reduce manual effort. The company found the answer in Timewax’s resource planning software. avodaq successfully utilizes a wide range of functionalities.

The planning board is at the core: all employees and projects come together in one overview, allowing multiple projects per person per day – divided into blocks – to be planned clearly. Double bookings and gaps in the schedule are immediately noticeable. The utilization overview shows at a glance who is available and where early adjustments are needed.

avodaq offers various services. Skills-based planning helps to link the required expertise to the right project. It’s not about who has time, but who has the right competencies. The bidirectional Outlook integration ensures that the schedule automatically appears in employees’ calendars and appointments from Outlook are reflected back in Timewax.

With the API integration in the HR tool, absences also become visible in Timewax and in the calendars. This creates a reliable picture of available capacity. Thanks to Single Sign-On (SSO), employees log in securely and effortlessly – fitting the high security standards of an IT service provider like avodaq.

For employees, transparency in daily activities increased: reservations in the schedule and relevant assignment data are synchronized in their calendars. Technicians see their schedule in the place where they organize their day and no longer need to actively check for changes in the planning tool.

Data quality has also improved because the planning tool, calendar, and absences work together consistently. Leave, reservations, and project information can be factored in more reliably, reducing planning errors, rework, and manual coordination.
