The implementation of Timewax was the right answer for avodaq to the increased complexity in resource planning. Centralized planning now offers a complete overview of resources, projects, and capacity. Double bookings, bottlenecks, and free availability become visible early on, making planning decisions faster and better informed. For employees, transparency in daily activities increased: reservations in the schedule and relevant assignment data are synchronized in their calendars. Technicians see their schedule in Outlook where they organize their day and no longer need to actively check for changes in the planning tool.

For Coenradie, the deciding factor wasn’t a single specific feature, but rather the combination of clarity, ease of use, and flexibility. The planning system aligned with the way employees were already accustomed to working, while at the same time offering many more possibilities than before. With a single click, planners can now switch between locations or view a comprehensive overview of the entire organization. This provides immediate insight into available capacity, ongoing projects, and the deployment of specialized equipment.

With 60 to 70 employees, including engineers and especially many technicians, tight scheduling is crucial for Veldkamp. Timewax helped make planning manageable in an environment with high turnover, varying types of work, and a large field service team. The organization now has better visibility into capacity, can adjust sooner, and communicates with technicians more promptly. What started as a replacement for an unworkable Excel schedule grew into a solid foundation for the operation — and a basis for further professionalization.

Our old custom software worked perfectly for years, but it wasn’t being further developed. Now, when I create a plan item in Timewax, it’s instantly available in AFAS Profit and AFAS Pocket. In AFAS Pocket, employees can see which clients they need to see and log their hours worked there. When a client calls for an appointment, scrolling forward is so much faster than we were used to. That really makes our work easier. And now we can email a client a summary of all their recurring appointments.

For the planners it helps enormously that recording the planning is very accessible: “You can easily move, copy and switch between consultants.” The planning automatically goes to the consultants’ calendar and through the 2-way integration with Outlook the appointments from the calendar are also synchronized with Timewax. All this helps the planning to make a correct and complete schedule.

We can now work in much more detail, making everything much easier to follow. We can check for a specific task whether an excess of hours has occurred, where it came from and where fewer hours were used. Information that you would also like to know for future calculations. This way we get as close to the truth as possible. Valuable insights that have improved our entire process.

Timewax has quite an impact. In particular, we think the efficiency and clarity have improved significantly! Thanks to the Outlook integration with Timewax, the hours worked within projects are immediately processed in Timewax. This means that double entry is no longer necessary and the information surrounding a project is immediately available to everyone involved. We can now detect deviations within projects much faster through reports.

We now have much better insight into what the billable time is currently and in the future. This way we now know better what turnover we can expect. The insights into time ensure that budgeted costs can be checked in quotes and that staff can be planned more accurately. The impact of Timewax is therefore mainly that the business processes have become a lot more transparent and that these processes have been made more efficient.

Management is very happy with the overviews that they can generate within Timewax. They can see the resource utilisation and generate projections for the future. This enables managers to plan and distribute resources more effectively in the short term while taking into account how resource distribution is planned in the long term.
